Ms Busy Fit (“we”, “us”) is a personal training studio based in Ontario, Canada. This policy explains what information the Ms Busy Fit app and the coach console at web.msbusyfit.com collect, how we use it, who we share it with, and the choices you have. It applies to clients who use the app and to coaches who use the console.
We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). If you live somewhere with stronger rules, we honour those too where they apply to you.
What we collect
Information you give us
- Account details: name, email address, phone number, profile photo, time zone, gender, date of birth, height, activity level and food preferences or allergies you enter during onboarding.
- Training and nutrition records: workouts you log (sets, reps, weight, time), how hard an exercise felt, meals and water you tick off, habits you complete, body measurements and weight, progress photos, and any notes you write.
- Messages: chat messages, voice notes, photos and videos you send to your coach or post in the community feed, and replies you leave on other posts.
- Check-ins and forms: answers to the check-in forms your coach assigns, including how you feel and any pain or injury you report.
- Documents you or your coach upload about you, such as blood work results or a physiotherapy note.
Information from your devices and connected services
- Apple Health (iPhone), only if you turn it on: daily steps, active energy, sleep and workouts. We read this to show your activity to you and your coach. We never use Health data for advertising, never sell it, and never share it with anyone other than your coach.
- Fitbit or Oura, only if you connect one: the same daily activity, sleep and heart rate summaries. Connecting stores an access token so we can fetch new days; disconnecting deletes it.
- Device information: the type of phone and operating system, app version, a push notification token, and crash reports (without your messages or health data) so we can fix problems.
Information we create
- Progress and achievement statistics computed from your logs (streaks, volume, compliance).
- A short AI-generated summary of your recent training and check-ins, shown only to your coach to help them prepare for a session. See “Who we share it with” for how this is produced.
How we use it
- To run your coaching: schedule your program, deliver meal plans and habits, and let your coach see how it is going.
- To let you and your coach message each other and to run the community feed and challenges within the studio.
- To send reminders and notifications you have turned on (workouts, check-ins, messages).
- To keep the service secure, prevent abuse and fix bugs.
- To meet legal obligations, such as keeping records we are required to keep.
We do not sell your information, we do not show advertising, and we do not use your health or training data to build advertising profiles.
Who can see it inside the studio
Your assigned coach, and the studio owner, can see everything you log and send. Other coaches at the studio can see it only if your coach shares your chat with them to cover an absence. Other clients see only what you post to the community feed and, in a challenge, your leaderboard position. Your health, photos, measurements and messages are never shown to other clients.
Who we share it with
We use a small number of service providers to run the app. Each one processes your data only on our instructions.
| Provider | What for | What they process |
|---|---|---|
| Supabase | Database, sign-in and file storage | All account, training, nutrition, message and file data |
| Vercel | Hosting the coach console and web services | Requests to the console and their contents |
| Expo | Push notifications and app builds | Push token and notification text |
| Anthropic | The coach’s AI summary of a client | Recent workout, check-in and measurement records, sent when a coach requests a summary. Not used to train their models. |
| Sentry | Crash and error reporting | Device type, app version, error details |
| Fitbit, Oura | Wearable sync, only if you connect one | Your account with them authorises us to read activity data |
| Apple | Apple Health on iPhone, only if you turn it on | Health data stays on your phone until the app uploads the daily summaries described above |
We may also disclose information when the law requires it, to protect the safety of a person, or as part of a sale or merger of the studio, in which case this policy would continue to apply.
Our providers store data in the United States and Canada. By using the app you agree that your information may be stored and processed outside your province or country, where it may be reachable by local authorities under local law.
How long we keep it
We keep your information for as long as your account is active so your coach has your full history. When you delete your account, your profile, logs, photos, messages, uploads and connected-service tokens are deleted within 30 days. We keep a record that a deletion happened (account id, date, studio) without your personal details, and any billing records we are legally required to retain. Backups roll off within a further 30 days.
Your choices and rights
- Access and correction: your profile, measurements and logs are editable in the app. Ask us for anything you cannot see yourself.
- Delete your account: in the app, open Settings and choose Delete account. Or email us; see how to delete your account.
- Notifications: turn them off in the app’s Settings or in your phone’s settings.
- Apple Health, Fitbit, Oura: disconnect in Settings at any time; we stop syncing immediately.
- Photos, camera and microphone: the app asks before using each, and you can change your answer in your phone’s settings.
- Complaints: contact us first. You may also contact the Office of the Privacy Commissioner of Canada.
Security
Data is encrypted in transit and at rest. Access is restricted by role: a coach can only reach the clients assigned to them, and every request is checked against these rules in the database itself. Your sign-in session is stored in your phone’s secure keychain. No system is perfectly secure; if we learn of a breach affecting you, we will tell you and the regulator as the law requires.
Children
The app is for adults. We do not knowingly accept clients under 18. If you believe a minor has an account, contact us and we will remove it.
Not medical advice
Your coach is a fitness professional, not a physician. Nothing in the app is a diagnosis or a substitute for medical care. Blood work and other documents you upload are stored for your coach’s reference only.
Changes
When we change this policy we will update the date at the top and, for material changes, tell you in the app before they take effect.
